Navigating Powerpay

When you log on to Powerpay, you see the Info Centre page. Click the Home menu to return to the Info Centre at any time.

Menus

The menu includes all the pages that you can access. It is displayed on the left of the screen, and is always available (even if it's hidden, or "unpinned") regardless of which page you're currently using.

To open a page, click the parent topic to expand the selections then click the page you want to open. The page you are currently using is highlighted in blue. Navigate to another page by clicking it in the menu.

Tip: To "pin" the menu so that it's always displayed, click the pin icon above the menu in the toolbar.

After you open the Pay Period page and select a specific pay period to work on, two additional menus appear:

  • Payroll Provides the pages in which you to enter all payroll data and set up employees and employee level information in Powerpay.
  • Process Provides access to pages where you verify payroll data, request and view a preview of a payroll, and submit a payroll to Dayforce for processing.

Searchable Menu

The searchable menu provides a fast and easy way to find the page you need. Using the search feature, you do not need to open and close menu items to locate the page you need. Simply start typing the name of the page you are looking for, and the menu sorts automatically to only display the pages that meet your criteria. For example, to locate the employee timesheet for second payments, type time in the search bar and all the pages meeting the search criteria are highlighted.

Page Header

The page header at the top of the screen displays important information about your payroll.

Payroll The payroll number of the company you specified at login.

Pay Period The pay period selected to work on displays.

PPE Date The end date for the current pay period. The ending date is based on your payroll calendar. If you require changes to the Pay Period Ending Date, contact your Customer Support Team.

Payment Date The payment date for the selected pay period. This is the date employees can cash their cheques or direct deposits are made to employee bank accounts. This date is taken from your payroll calendar and it can be changed. Payment Dates are validated. When you submit the payroll for processing, the payment date is checked against the submission date. If any problem exists, Powerpay displays a warning message. Allow three days from submission date to the Payment Date if you require direct deposits.

Submit by Date The deadline date when the payroll must be submitted.

Employee List

  • Employee List - The Employee List is available on every page on which you need to select an individual employee record to work with.

    • Select a name to work with that employee's record. Powerpay displays the employee's Name, Number, Pay Type, and Pay Rate at the top of the page.
    • - To go directly to the record for a specific employee, type the employee's name in the Search box and press Enter.
    • - To show only records for employees with specific statuses, select the Active, On Leave, or Terminated status check boxes. Clear check boxes next to statuses you do not want to see. Removing employee records from the list displayed does not remove them from Powerpay.
    • - By default, the employee list is sorted in order by Employee Surname. The sort order also applies to payroll preview and the HR reports. To change the sort order, click on the sort button and select the sort option to apply. From the Group By list, select how to group the employees within the selected sort option and click Apply.

Accessing Data Entry Pages

Before entering data in Powerpay you must select the payroll run.

  1. Click the Pay Period menu. The Select Pay page opens.

  2. Click Enter for the payroll into which you want to enter data.

Warning: If more than one payroll is open for data entry, be certain that you select the correct payroll for the task.

Multiple Payroll Navigation

Powerpay’s multiple payroll navigation provides a way to easily switch between payrolls that you work on without logging off from Powerpay.

To facilitate switching between payrolls, a button appears in the top right-hand corner of the Powerpay screen when you have access to more than one company.

To switch between payrolls:

  1. Click the Switch Payroll button in the top right-hand corner of the screen.
  2. The Select Company window displays with a list of the companies that you have access to. It includes four columns:

    • Company Number
    • Company Name
    • Pay Frequency
    • Payroll Status

    The companies can be sorted by each of the four columns by clicking on the column header. The companies can also be filtered by Company Number and Company Name by entering the first character or characters of the item to filter by in the Filter field. The Company list only displays the companies that meet the selected criteria.

  3. Select the company to switch to from the list.

  4. Click Switch Payroll.

    While processing the switch, Powerpay displays the message:

    "Powerpay is switching payrolls. Please do not make any changes until the process completes."

    Powerpay displays the Pay Period page for the selected company.

Note: This feature is available between active payroll accounts only.
