Add a new Powerpay user
Important: It is essential that Ceridian has your most up-to-date contact information on file. Ensure your contact list is current to allow for continued support from Ceridian and to maintain the confidentiality of your payroll. We cannot discuss your payroll with unauthorized contacts. Additionally, at least one user per company is required to receive email notifications of payroll-related issues.
Authorized users of Powerpay can add a new user.

If you have received an error message indicating you have reached the maximum number of users allowed, please contact your Service Delivery Team for assistance.

If you are a Powerpay Plus customer, also review Role Based Security.

To add a new contact without a user ID, contact your Service Delivery Team.

To assign a user as a Dayforce Time and Attendance contact, email Ceridian at [email protected].

To add a user with the same user ID as another Powerpay payroll, contact your Service Delivery Team.
Tasks

- Open the payroll for which you want to add a new user.

Click Add User.
Note: Once the maximum number of users defined for the payroll has been reached, the Add User button will not display and a warning message will display. Contact your Service Delivery Team if additional users are required.

Select Yes or No based on your requirements.

Click Next.
The Contact Information section appears.
- Complete the contact information fields. Required fields are marked with a red asterisk (*).
- (Powerpay Plus users) Select the Security Role set up for your payroll to assign the user. Users only have access to the payroll and company information assigned to the selected role. See Security Roles for information on setting up role based security for your payroll.

Select the check box next to one or more of the following contact types:
Note: You can assign multiple users as a Payroll Backup contact. For all other contact types, you can assign only one user.

Primary Contact – Ceridian's first point of contact for payroll matters and the recipient of Ceridian correspondence.

Payroll Backup – a backup contact for all payroll-related functions if the Primary Contact is not available.
Important: It is in your best interests to list a backup contact as Ceridian can only discuss payroll related matters with authorized contacts. A minimum of two contacts is recommended. To add a new contact without a user ID, contact your Service Delivery Team.

Distribution Contact – recipient of the payroll package.
- ROE Issuer - responds to questions regarding the date printed on the ROE form. When a user is selected as an ROE Issuer Contact, the user’s First Name, Last Name and Primary Phone Number are passed to the Company Profile page and used to populate the Default Issuer Name and Default Issuer Phone Number fields (ROE boxes 21 and 22).
- ROE Contact - responds to external questions related to the reason of the ROE Issue. When a user is selected as an ROE Contact, the user’s First Name, Last Name and Primary Phone Number are passed to the Company Profile page and used to populate the Default Contact Name and Default Contact Phone Number fields (ROE box 16).
- Executive Summary Contact - addressee of the Executive Summary Report. When a user is selected as an Executive Summary Report Contact on the , the user’s First Name and Last Name are passed to the Company Profile page and used to populate the Executive Summary / T4 Summary Contact field.
- EFT/Stops/Rejects E-Mail Notification- receives an email when a stop payment is placed or a reject occurs.

- (Self Service Accounts) Complete the Self-Service Notifications section. Select which Self Service notifications the user should receive in their Powerpay Inbox. Notifications must be set up on the Field Selections page to receive notifications. See Manage field access for employee data entry in Self Service for more information.

Complete the Email Messages & Notifications section. If appropriate for this user, select the check box labeled Yes, Ceridian can use the above email address to contact the user regarding payroll-related issues.
When this check box is selected, the information entered for the User ID is included in the Business Recovery report.
Note: This check box must be selected for at least one user.
- If appropriate for this user, select the check box labeled Yes, send this user product updates, offers and features by email.

Select the type of email notifications the user should receive, including the number of days prior to a payroll submission date that this user should start receiving reminder notices.
Acceptable values for this field vary by pay frequency.

Enter 1 to display the message only on the Submit for Processing by date, or a higher number to display the message further ahead of the required submit date.
To display the message only after the Submit for Processing by date (if the payroll has still not been submitted for processing), enter 0.

Click Save.
Powerpay saves the settings for the new user and displays the new user in the user list.

Click Release E-Mail.
Powerpay indicates that an email is sent to the user’s email address with instructions for opening Powerpay. New users are prompted to verify contact information and provide Personal Verification Questions and answers when they log on to Powerpay
Important: The 7-character Company Number for your payroll is required to complete the process. You must provide this number to your contact for them to successfully complete the process.
Note: The link in the email expires after 24 hours. If the link expires, you need to resend the user the Powerpay logon email to generate a new link.
