What details do employees need to provide during onboarding?

During the onboarding process, employees may be asked to confirm or provide any of the following information: Legal Name Birth Date Contact Information (phone/email) Home Address SIN and SIN expiry date for SINs starting with 9 Federal and Provincial Tax Exemption amounts from the TD1s/TP-1015.3-V Banking information for direct deposit (Financial Institution #, Transit # and Account #) Emergency Contact Information (optional)

Can the onboarding wizard be customized?

Yes. The onboarding wizard lets you customize the new hire welcome email, the welcome message new hires see on their initial login to Powerpay Self Service, and the information they need to complete during the onboarding process. Note: before finalizing the onboarding process, you can test the employee experience to make sure you’re happy with the setup.

Can I add employees before they start?

Absolutely. Employees added in the onboarding wizard have a “New Hire” status in Powerpay and will only flow to payroll when you choose to activate them. That means you can get the paperwork out of the way and focus their first day on getting them settled in their new role.

Is there a limit for the number and size of documents that can be uploaded in Powerpay?

You can load as many documents as you need.  The maximum size of file that can be uploaded is 20 MB, and there is a storage limit of 250 MB per employee. A progress bar at the top of the employee Documents page indicates the amount of storage available. For reference, the average employee handbook is 1-10 MB, so you’ll have plenty of room to store documents.

Which document formats are supported in Powerpay?

The following document types can be uploaded: .xlsx, .docx, .pdf, .jpeg and .png.

How long are documents stored in Powerpay?

Documents are stored in Powerpay for 7 years.

Are there alerts for documents that are set to expire?

Yes, payroll administrators can customize their system notifications to receive alerts when certificates, training, or other critical documents need to be renewed.
